Policy Checker

Policies are promises. They tell us what services must do, when, and how. But in the chaos of real life—busy inboxes, shifting responsibility, and fuzzy memories—those promises are often forgotten or quietly ignored. That gap between what should happen and what did happen is where harm builds up and trust breaks down.

Policy Checker is a tool I built to close that gap. It ingests the policies that should apply to a situation, takes the related evidence (emails, police logs, medical records, incident notes, etc.), and then compares the two. If something doesn’t line up, Policy Checker highlights it—with the exact policy clause and the exact evidence excerpt side-by-side—so anyone can see what was required and what actually occurred.

Why policy adherence matters

Rights aren’t self-executing. People rarely have the time—or energy—to parse long documents while navigating crises. If no one checks, non-compliance becomes normal.

Clarity cuts through denial. When you can point to this sentence in the policy and this line in an email, arguments give way to facts.

Better outcomes follow evidence. Clear, documented non-adherence prompts action: internal reviews, escalations, and course-corrections. That’s how real-world results happen.

What Policy Checker does

Takes in policies and guidance

Upload the relevant policies, procedures, and service standards that govern your case.

Policy Checker showing compliance reviews

Adds your evidence and context

Bring in emails, logs, medical records, case notes, and other supporting materials to form the complete picture.

Compares policy to reality

The application maps your evidence against the policy obligations and flags potential non-adherence.

Cites exact text on both sides

Every flag shows the precise policy wording and the matching line(s) in your evidence—no vague summaries, no hand-waving.

Builds an audit-friendly record

You get a structured output that you can share with professionals, complaints teams, or oversight bodies—making it far harder for issues to be dismissed.

How this helps different people

Individuals & families: Understand your rights and where they may have been breached—quickly and clearly.

Advisers & advocates: Save time, standardise reviews, and elevate cases with evidence-based findings.

Services & managers: Identify training gaps, fix broken processes, and demonstrate improvements with traceable changes.

A simple, transparent workflow

Collect: Gather policies + evidence for the case.

Compare: Run Policy Checker to align requirements with what happened.

Confirm: Review flagged items with inline citations for verification.

Act: Use the findings to request the correct support, escalate complaints, or initiate formal reviews.

Follow up: Track responses against the same policy requirements.

Why exact quotes matter

Exact quotations change the conversation. Instead of “we feel you didn’t follow policy,” you can say:

“Policy §4.2 requires X within 24 hours. Evidence (Email, 12 Mar, 09:14) shows X was requested but not provided until Day 5.”

Precision like this is fair, verifiable, and action-driving.

Responsible use

Policy Checker is designed to support decision-making, not replace professionals or legal advice. It surfaces potential issues and provides the evidence to discuss them constructively.

Note: Policy Checker does not provide legal advice. For legal questions or proceedings, consult a qualified professional.

The bigger picture

Policy adherence isn’t a bureaucratic box-tick. It’s how we turn rights into reality—especially in high-stakes contexts like healthcare, safeguarding, policing, and social care. When policies are followed, people are protected. When they aren’t, we need to see it clearly and fix it fast.

That’s what Policy Checker is for.
